Role of Host Organization

    · Each host organization should be contacted by the Pathways Director or School Coordinator a week or two prior to the session to confirm arrival time, number of students and a list of SHRM chapter volunteers.

    · The Instructors or School Coordinator should have contacted the host organization regarding room set up and any AV equipment needed for their presentation. Room should be large enough to seat 20 –25 students around a table with extra chairs for the guidance counselor, SHRM chapter representatives and guests in the rear of the room. If possible, the room should be large enough to support breakout sessions for several small groups. All AV equipment should be set up prior to the students’ arrival. Most instructors require a minimum of flip chart, and overhead projector. Some will need a VCR/TV set-up if available.

    · Host organizations are asked to provide some type of continental breakfast at the beginning of the session, i.e. 8:30 a.m. and a luncheon at 12:00 p.m. Small give-aways are always appreciated by the students, but not required.

    · SHRM chapter instructors and committee members will arrive at 8:00 a.m. Students and guidance counselor should arrive at 8:30 a.m. by bus.

    · The representative from the host company should welcome the students and guests from the bus, take them to the meeting room, and get them settled with breakfast so that instruction can begin promptly.

    · Instruction is to run from 9:00 a.m. to 12:00 noon with one to two breaks.

    · Luncheon should be from 12:00 to 12:30 – preferably in the same room, to conserve time.

    · The rest of the time (12:30 to 1:30 p.m.) a representative from the host organization will address the students. This is the time for the host organization to talk about what it does and any job opportunities for which it recruits. This presentation should be somewhat informal so that the students are encouraged to ask questions and interact with the hosts. If feasible, a tour of the facility is encouraged. The students will like to hear about the organization, types of jobs at that particular organization, what education and/or experience one needs to qualify for those jobs, etc. How would one go about acquiring that training, etc.

    · The busses will pick up the students at 1:30 p.m. to return the students back to school by 2:00 p.m.
